Qualifications:

- Secretarial certification preferred or equivalent experience will be considered
- Knowledge of the AIMS correspondence logging and tracking system internal to the Legislative Building, would be an asset
- Knowledge of standard office equipment, computer experience and knowledge of Microsoft Word, Excel, Power Point, Internet and Outlook
- Ability to communicate effectively, both orally and in writing and to work harmoniously with other staff
- Excellent time management skills, organizational skills and the ability to establish priorities
- Capable of working independently and under pressure
- Knowledge of the Department and policies are assets

Duties:

The Office of the Minister of Water Stewardship has an immediate opening for a Correspondence Secretary.

Reporting to the Secretary to the Minister, the incumbent provides confidential secretarial, clerical and administrative support in the Minister’s office.  As the Correspondence Secretary, the incumbent is accountable for receiving, logging, responding by typing routine letters, bring forward files/correspondence and answering/screening and re-directing telephone calls.  The incumbent will also provide vacation relief for the Secretary to the Minister.  Duties may include  scheduling appointments and meetings through AIMS, travel arrangements ; maintaining filing systems; responding to enquiries; and proofreading a variety of confidential correspondence.

The successful candidate will have several years of progressively responsible secretarial experience working for senior executives.  Strong organizational and interpersonal skills.  Excellent verbal and written communication skills and the ability to deal with telephone and in-person inquiries with courtesy, tact, and discretion.  Experience with administrative processes and systems such as legislative processes, authority seeking documents, AIMS, mail and filing systems would be an asset.  Ability to work independently and as well in a team environment.  Ability to work under time constraints and deadlines to meet the challenges of a fast paced, high volume environment.  Computer experience is essential; preferably with Microsoft Office suite such as Outlook, Excel, Power Point and Word.
